This privacy statement provides information about the processing and the protection of your personal data.

1. Introduction

TAO-AFI, the Association of Independent Officials, is an official trade union of the European Commission representing all the personnel of the European Commission sharing the democratic values of respect, tolerance, human rights, equal opportunities and rule of law.

TAO-AFI is committed to protect your personal data and to respect your privacy. This privacy statement explains the reason for the processing of your personal data, the way we collect, handle and ensure protection of all personal data provided, how that information is used and what rights you have in relation to your personal data. It also specifies the contact details of the responsible Data Controller with whom you may exercise your rights, the Data Protection Officer and the European Data Protection Supervisor.

2. What, why and how do we process your personal data?

In accordance with article.10 of the staff regulations, TAO-AFI, in its trade union position, informs staff of its actions via an official functional mailbox (FMB) granted by Directorate General for Human Resources of the European Commission (DG HR) and by using the formal directory available to all staff.

The personal data includes the full name and the email address of the user, as well as the administrative location and telephone details.

Your personal data will not be used for an automated decision-making including profiling but is necessary for the management of TAO-AFI’s actions.

Data collected on the TAO-AFI website includes the full name and email address of the user, if given. The data is collected when a contact is made on the website.

We process your personal data, because:

Processing is necessary for the performance of a task carried out in the general interest of staff or in the exercise of an official decision, which needs to be vested in the institution.

3. How do we protect and safeguard your personal data and for how long?

The collected personal data are stored on a server made available by DG HR (i.e. an institutional server), which guarantees data protection and confidentiality to the standards of Regulation (EC) 45/2001.

Data is kept as long as the person involved is registered to the system.

4. Who has access to your personal data and to whom is it disclosed?

Data and information transmitted to TAO-AFI is dealt with in strict confidentiality and will only be accessed by persons dealing with the administrative functioning of the organisation and for the purposes of processing the tasks described in point 2 of this privacy statement.

5. What are your rights and how can you exercise them?

You have specific rights as a ‘data subject’ under Chapter III (Articles 14-25) of Regulation (EU) 2018/1725, in particular the right to access, rectify or erase your personal data and the right to restrict the processing of your personal data. Where applicable, you also have the right to object to the processing or the right to data portability. In case you wish to verify which personal data is stored on your behalf, have it modified, corrected or deleted, please contact TAO-AFI FMB that will facilitate and coordinate the process at its level.

6. Recourse

You may contact the Data Protection Officer (DATA-PROTECTION-OFFICER@ec.europa.eu) with regard to issues related to the processing of your personal data under Regulation (EU) 2018/1725 or the European Data Protection Supervisor (edps@edps.europa.eu) if you consider that your rights under Regulation (EU) 2018/1725 have been infringed as a result of the processing of your personal data by the Data Controller.
